Terms of Service

These terms are an agreement between Payanai LLC (“we”, “us”) and the studio or business that creates a ClassRoot account (“the studio”, “you”). By creating a studio or using ClassRoot, you agree to them. Section 9 explains how ClassRoot works for parents and guardians who register with a studio.

1. Using ClassRoot

ClassRoot helps studios manage classes, registration, agreements, attendance, billing, payments and messages. ClassRoot is currently available to studios based in the United States. To use it, you must be at least 18 and have the authority to agree to these terms for your studio.

We keep improving ClassRoot, so features may change. If we remove something important you rely on, we'll tell you in advance where we reasonably can.

2. Your account

  • You're responsible for who you give access to (owners, admins and instructors) and for what they do in your studio's account.
  • Keep access to your email secure, since sign-in links are sent there. Tell us straight away at support@payanai.com if you think someone has accessed your account without permission.
  • The information you give us about your studio must be accurate.

3. Fees

There's no monthly fee, setup fee or contract. ClassRoot charges 1% of each online payment (card or bank) that families make through ClassRoot, and never more than a monthly cap based on your number of active students:

  • Up to 100 students: at most $29 a month
  • 101–250 students: at most $69 a month
  • 251–500 students: at most $99 a month
  • 501+ students: at most $139 a month

The cap applies per calendar month. Payments you record yourself (Zelle, cash, cheque) are free. Our fee is collected automatically by Stripe from each online payment as it's made, so you never receive an invoice from us. If the payment is refunded, our fee on it is not refunded unless the refund is due to our error.

Stripe charges its own processing fees separately, under your agreement with Stripe. We may change our fees with at least 30 days' notice by email; the new fees apply only to payments made after that date. You're responsible for any taxes on the services you provide to families.

4. Payments through Stripe

  • To take online payments, you connect your own Stripe account and agree to Stripe's Connected Account Agreement. Families pay your studio directly; the money goes to your Stripe account, not to us. We don't hold your funds and are not a bank or payment processor.
  • Your studio is the seller of its classes. You're responsible for your prices, refunds, and handling disputes and chargebacks with your families and Stripe.
  • When you collect payments in ClassRoot (or turn on automatic billing), you're instructing us to charge families' saved payment methods for the amounts shown. Check charges before collecting; ClassRoot is designed never to charge the same payment twice, but you're responsible for the amounts you bill.
  • Only charge families according to the agreements they accepted, including your autopay terms.

5. Your responsibilities to families

  • Your agreements are yours. ClassRoot provides template wording for waivers, policies and consents as a starting point only; it isn't legal advice. You're responsible for the wording you use and for making sure it suits your studio and the law where you operate.
  • Information about families must be collected and used lawfully and only for running your studio. Respect the choices parents make in ClassRoot (for example declining photos or messages).
  • Messages: send families only messages related to your studio and its classes, and follow the laws that apply to email and messaging. Share in WhatsApp groups only with families who have agreed to that.
  • Safety information such as medical notes and emergency contacts is shared with you so you can keep students safe; keep it confidential and limit it to staff who need it.

6. Your data

Your studio's information and your families' information belong to you. We use it only to provide and improve ClassRoot, as described in our Privacy Policy, and we don't sell it. You can ask us for a copy at any time.

If you close your account, you can ask for a copy of your data within 30 days. We then delete it within 90 days, except records we must keep by law.

7. AI features

AI features (drafting messages, translations and Ask ClassRoot) are there to help you, and can make mistakes. Review drafts and translations before sending them, and check important answers (especially about money) against your records. You're responsible for what you send to families.

8. Acceptable use

Don't use ClassRoot to:

  • break the law, or collect payments for anything other than your studio's genuine services;
  • send spam or harassing messages, or contact people who haven't agreed to hear from you;
  • upload anything harmful, or try to access other studios' data, test or bypass our security, or overload the service;
  • resell or copy ClassRoot, or use it to build a competing product.

We may suspend an account that puts families, other studios or ClassRoot at risk, and we'll tell you why unless the law or the risk prevents it.

9. For parents and guardians

When you register with a studio on ClassRoot, your agreement about classes, fees, refunds and policies is with that studio, not with us. The studio sets its prices and policies and decides how your family's information is used. For questions about classes, charges or refunds, please contact the studio.

By using ClassRoot you confirm that the information you give is accurate and that you're the parent or legal guardian of each student you register. Payments you make go directly to the studio through Stripe. If you have a concern about ClassRoot itself, email support@payanai.com.

10. Availability and support

We work hard to keep ClassRoot available and your data safe, but we can't promise it will always be uninterrupted or error-free. We'll give notice of planned maintenance where we can. For help, email support@payanai.com.

11. Ending your use

You can stop using ClassRoot at any time; there's no contract. We may end these terms with 30 days' notice, or straight away if you seriously breach them. Sections about fees owed, your data, liability and governing law continue after the terms end.

12. Disclaimers and limits on liability

ClassRoot is provided “as is”. To the extent the law allows, we disclaim implied warranties such as fitness for a particular purpose. We're not responsible for the services your studio provides, for Stripe's services, or for losses caused by information you entered incorrectly.

To the extent the law allows, we're not liable for indirect or consequential losses (such as lost profits), and our total liability to your studio for any claim related to ClassRoot is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits liability that can't be limited by law.

You agree to cover claims brought against us by families or others arising from your studio's classes, charges, agreements or messages, or from your breach of these terms.

13. Governing law

These terms are governed by the laws of the State of Texas, USA. Any dispute will be handled by the state or federal courts located in Texas, unless the law where you live requires otherwise.

14. Changes to these terms

If we make significant changes, we'll update this page and the date at the top, and email studio owners at least 30 days before they take effect. Continuing to use ClassRoot after that means you accept the new terms.
